Site Events & Coordination Lead - Hyderabad
Position Summary:
The Site Events & Coordination Led (J&J IM R&D Hyderabad) supports site-wide coordination and employee engagement activities at Johnson & Johnson's growing R&D campus in Hyderabad. Working under guidance, the role provides administrative, event coordination, and operational support to help deliver a positive employee and visitor experience across the site. This role works closely with local R&D leadership and global teams to support with the planning and execution of site events, leadership visits, and operational processes while upholding Johnson & Johnson’s Credo values and compliance standards.
Key Responsibilities:
- Site Events & Engagement:
Support the planning and coordination of site events and engagement activities, including leadership visits, town halls, networking events, community programs, and other large-scale or high-visibility on-site activities – ensuring alignment with J&J’s global workplace experience standards. - Campus Coordination & Operations:
Coordinate campus activities such as on-site logistics, visitor management, and site services to support R&D operations. Coordinate with facilities, Environment, Health & Safety (EHS), IT, security, and other support functions for smooth site operations and a positive employee experience. - Leadership Support & Communication:
Support leadership visits and meetings by coordinating agendas, itineraries, travel arrangements, and on-site support for senior R&D visitors. Assist site leaders in preparing campus communications and engagement materials; act as a liaison between local leadership and global teams, ensuring clear communication of site updates, needs, and successes - Project Management & Coordination:
Contribute to initiatives at the site level, such as major events, site-level projects, and cross-functional programs. Support the development and implementation of project plans, milestone tracking, manage suppliers/vendors (e.g. event planners, facilities services), and ensure high-quality, timely outcomes. - Stakeholder Collaboration:
Collaborate effectively across multiple functions and departments (R&D, IDAR Business Operations, HR, Facilities, Communications, etc.) to deliver integrated site support. Build effective working relationships and help connect stakeholders with appropriate resources and support. - Operational Excellence & Continuous Improvement:
Identify opportunities to improve administrative and coordination processes and contribute to implementation of approved improvements. Maintain systems and tools used for event tracking, reporting, campus communications, and other operational tools. Ensure compliance with corporate policies and maintain high standards of confidentiality, professionalism, and discretion in handling sensitive matters.
Scope & Complexity:
This role is supporting the entire R&D Hyderabad site – a fast-scaling hub with multiple R&D functional teams and frequent global leadership engagements. The Site Events & Coordination Lead will support campus events, employee engagement activities, leadership visits, and operational processes that contribute to the overall site experience. The incumbent manages multiple assigned activities simultaneously while working within established processes and under guidance from site leadership and Business Operations colleagues. Success in the role requires strong organizational skills, attention to detail, effective prioritization, and the ability to collaborate across a diverse group of stakeholders to support successful execution of site initiatives.
Qualifications & Experience:
- Education:
Bachelor’s degree in business administration, event management, communications, or a related discipline. - Experience:
2-4 years of relevant professional experience in site/campus operations, administrative leadership, event management, communications, or employee engagement roles. Experience working in international, matrixed pharmaceutical or healthcare corporate environments with cross-functional collaboration is preferred. - Domain Knowledge:
Familiarity with the pharmaceutical, life sciences, healthcare sectors in India (Hyderabad region) is preferred. - Language & Communication:
Fluency in English, both written and verbal, is required. Proficiency in local language(s) is desirable. Strong communication skills with the ability to interact effectively with employees, visitors, vendors, and stakeholders at different levels of the organization. - Technical & Administrative Skills:
Proficiency with office productivity tools and enterprise systems (e.g., Microsoft 365 suite, virtual meeting platforms, travel and expense systems like Concur, etc.) for scheduling, reporting, and collaboration. Experience coordinating meetings, calendars, travel arrangements, and administrative processes is preferred.
